The short version
Who we are
Rack & Tally is pipe yard inventory software, operated by Rack and Tally LLC, a Texas limited liability company. In this policy “we” and “us” mean Rack and Tally LLC, and “you” means the business that holds an account and the people it invites to use one. Rack and Tally LLC is the data controller for the information described here.

What we collect
Account information
- Your name and email address
- Your password, stored only as a cryptographic hash — we cannot read it
- A profile picture, if you upload one
- Your company name and your role within it
Inventory and business data
Whatever you record about your material: pipe specifications, heat numbers, tally numbers, lengths, grades, coatings, yard and rack locations, job numbers and notes. Depending on the role, it may also include cost, pricing, sales records and the customer name on a sale.
Photos
Photographs you take of individual joints, a single photo per lot, your company logo, your profile picture, and any satellite or aerial image you save for a yard map. Before a photo leaves your device it is resized and re-encoded, which removes the embedded EXIF metadata — including any GPS coordinates the camera recorded. The photo we store is the picture, not where you were standing when you took it.
Joint photos are held in a private file store and reached only through short-lived links issued to signed-in users. The other images above (lot photos, company logos, profile pictures and saved yard aerials) are stored inside your company’s database records rather than that file store; they are protected by the same company-level access rules but are not served through the short-lived-link mechanism.
Yard locations
If you set up a yard map, we store the map coordinates of that yard and the outlines you draw for racks. These describe your property, not any person.
Technical information
Our hosting and database providers keep ordinary server logs — IP address, browser type, timestamps, and errors. We use these to keep the service running and to investigate faults.
The camera, photos and location on mobile
These are the permissions the iOS and Android apps ask for, and exactly what each is for.
- Camera. Two uses: reading the QR code on a printed tag, and photographing a joint. QR codes are decoded on your device. The camera image is never uploaded for scanning — only the joint code it contains is used, to look that joint up in your own inventory.
- Photo library. Requested only so you can save a joint photo out of the app. We do not read your photo library.
- Location. Used only if you tap the “show my location” control on the yard map, to show where you are standing. We do not store your location on our servers and do not attach it to any record. Because the map imagery comes from Mapbox, tapping this control recenters the map on you once — it does not track you continuously — and the satellite tiles for your area are then requested from Mapbox, so Mapbox receives the area being shown and your device’s IP address as part of serving the map. Mapbox does not receive your name or account. See the provider list below.
How we use it
- To run the service — storing and showing your inventory to your own people
- To sign you in and keep your account secure
- To send email you have asked for: invitations to your crew, password resets, and joint photos you choose to email to a customer
- To take payment for a subscription
- To fix faults and improve the software
We do not use your inventory data to advertise to you, and we do not sell it to anyone.
Who else processes it
We use a small number of companies to run Rack & Tally. They process data on our instructions and for no purpose of their own. This is the complete list.
| Provider | What it does | What reaches it |
|---|---|---|
| Supabase | Database, sign-in, file storage | Account details, inventory, photos |
| Vercel | Website and application hosting | Requests and server logs |
| Stripe | Subscription payments | Billing details. Card numbers go to Stripe directly — we never see or store them |
| Resend | Sending email | Recipient address and message content |
| Mapbox | Satellite imagery for the yard map | The area of the map being viewed (as map-tile requests) and your device’s IP address. If you tap “show my location,” the map recenters on you once, so the requested tiles reflect where you are; the app does not track your location continuously. Mapbox may tag the request with its own randomly generated session identifier, which is not linked to your Rack & Tally account. Per Mapbox’s privacy policy it retains IP addresses for about 30 days and de-identifies location data. No name or account identifier is sent, and the app disables Mapbox’s optional usage analytics |
| Anthropic | The AI tally import and Ask Inventory features | Tally sheets you upload (which may show a company or customer name printed on the sheet), and inventory details — job numbers, yards, quantities and footage — needed to answer your question. Costs, prices and customer sale records are not sent. Your content is not used to train AI models |
| Google ML Kit | Reading QR codes in the mobile apps | Nothing. It runs entirely on your device |
We will also disclose data if the law genuinely requires it. If Rack & Tally is ever sold or merged, your data may transfer with it, and we will tell you before that happens.
What we don't do
- We do not sell or rent your data
- We do not use it for advertising, and we do not run advertising
- There are no analytics, tracking pixels, or third-party cookies on this website
- We do not let one company see another company's inventory
How it is kept safe
- Every request is checked at the database itself against the company you belong to, not merely hidden in the interface
- Cost and margin figures are restricted further, to the people in your company you have given financial access
- Joint photos live in a private store reachable only through short-lived links issued to signed-in users; other images (lot photos, logos, profile pictures, saved yard aerials) live in your company’s database records under the same company-level access rules
- Traffic is encrypted in transit, and passwords are stored only as hashes
No system is perfect. If we ever discover a breach affecting your data, we will tell you promptly and plainly.
How long we keep it
Your data is kept for as long as your account is open, because an inventory record is only useful as history. Sales are voided rather than deleted, so a correction leaves a trail instead of a hole. To close your account, email us at info@rackandtally.com and we will erase it. If you are one of several people on a company, erasing your account leaves the company and its inventory intact for the rest of the team; if you are the sole owner, erasing your account also removes the company and its data. Either way we delete it from live systems within 30 days, and routine backups age out within 90 days.
Your rights
You can ask us for a copy of your data, ask us to correct it, or ask us to delete it. Most of it you can already see and edit inside the app. For anything else, email info@rackandtally.com and we will respond within 30 days.
Depending on where you live you may have additional rights — for example under the California Consumer Privacy Act or the UK and EU GDPR. We apply the same standard to everyone regardless of where they are: we will tell you what we hold, and we will delete it if you ask.
Children
Rack & Tally is business software and is not intended for anyone under 16. We do not knowingly collect information from children.
Where data is held
Our providers store and process data in the United States. If you use Rack & Tally from elsewhere, your data will be transferred there.
Changes
If we change this policy we will update the date at the top. If a change materially affects how we handle your data, we will email account holders rather than relying on you to notice.
